Total Image Supplies Pty Ltd (ABN 22 600 452 864, “we,” “us,” “our”) respects your privacy. This policy explains what personal information we collect, how we use and disclose it, and how you can access it, correct it, or make a complaint. It applies to information we collect through our website, over the phone, in person (including at our trade counter), and through our marketing and advertising activities.
This policy is written to comply with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).
1. The kinds of personal information we collect
Depending on how you interact with us, we may collect: your name, contact details (address, phone, email), order and purchase history, payment details (processed by our payment providers, we do not store full card numbers ourselves), business details where you order on behalf of a company, communications you send us, and, for trade credit account applicants, the information described in section 8 below. Where you visit our website, we also collect technical and usage information such as your IP address, browser type, pages viewed, and referral source.
2. How we collect personal information
We collect personal information directly from you when you place an order online, by phone, or in person; create an account; apply for a trade credit account; contact us; or subscribe to our marketing communications. We also collect information automatically through cookies and similar technologies on our website (see section 5).
3. Why we collect, use and disclose personal information
We use personal information to: process and deliver your orders; manage your account, including a trade credit account; respond to enquiries and provide customer and warranty support; assess trade credit applications and manage overdue accounts; send you marketing communications where you’ve agreed to receive them; improve our website and services; and meet our legal obligations.
4. Direct marketing
We use HubSpot to send marketing emails and manage customer communications. You can opt out of marketing emails at any time using the unsubscribe link in any email, or by contacting us using the details in section 11. We only send marketing communications in accordance with the Spam Act 2003 with your consent (including inferred consent from your existing customer relationship, where permitted) and with a working unsubscribe option in every message.
5. Cookies, analytics and online advertising
Our website uses cookies and similar technologies, including through Google (Analytics and Ads) and Meta (the Meta/Facebook pixel), to understand how visitors use our site and to show relevant ads on other websites and social platforms (including retargeting). These providers may collect information about your device and browsing activity across sites. You can manage or disable cookies through your browser settings and opt out of personalised advertising through Google’s Ads Settings and Meta’s ad preferences. 6. Who we disclose personal information to
We disclose personal information to service providers who help us run our business, including Shopify (our e-commerce platform), HubSpot (marketing and customer communications), Google and Meta (analytics and advertising), payment processors, and delivery/freight partners. For trade credit customers, we may contact the trade referees named in an application, as described in section 8. We may also disclose personal information where required by law, or to professional advisers such as our accountant or lawyer.
7. Overseas disclosure
Some of the service providers listed above may store, process or disclose personal information outside Australia. The countries in which overseas recipients are likely to be located depend on the providers and services we use and may include the United States and other countries identified by those providers from time to time. Where practicable, we will maintain or link to current information about likely overseas locations. Before disclosing personal information to an overseas recipient, we take reasonable steps required by the Privacy Act to ensure that the recipient handles the information consistently with the Australian Privacy Principles, unless an exception applies.
8. Trade credit applications
If you apply for a trade credit account, we collect the business and contact details in your application, and, with your consent, we contact the trade referees you nominate to verify your payment history. We use this information to assess and manage your trade credit account. We do not use a credit reporting body, and we do not disclose your information to one.
For approved trade accounts, we may register a security interest over goods we supply to you on the Personal Property Securities Register (PPSR) a public register of security interests, separate from credit reporting, as described in our Terms and Conditions.
You can ask us to access or correct the information we hold about your application at any time — see section 10.
9. Data security
We take reasonable technical and organisational steps to protect the personal information we hold from misuse, interference, loss, and unauthorised access, modification or disclosure. If we experience a data breach likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme.
10. Access, correction and complaints
You can ask us to access or correct the personal information we hold about you, or to delete it where we are not required to keep it by law, by contacting us using the details below. We will respond within a reasonable time and will not charge you for making a request. If you have a complaint about how we’ve handled your personal information, please contact us first we will acknowledge your complaint within seven (7) days and aim to resolve it within thirty (30) days. If you’re not satisfied with our response, you can lodge a complaint with the OAIC at oaic.gov.au.
